Production Coordinator (Montreal)

The Production Coordinator at TUX plays a critical role in supporting the execution of advertising productions by ensuring smooth workflows, organized logistics, and clear communication across teams.

Reporting to Producers, Executive Producers, and Post Producers, the person in this role supports pre-production, shoot logistics, vendor coordination, and post-production tracking. This hybrid position is based in Montréal and is ideal for someone who is highly organized, detail-oriented, and eager to gain hands-on experience in a fast-paced creative production environment.

Success in this role is directly measured by:

Flawless organization and logistics management
• Keeping schedules, budgets, and resources organized to ensure productions remain on track
• Managing multiple moving parts while maintaining accuracy and attention to detail

Clear and effective communication
• Ensuring internal teams, clients, and external vendors remain aligned on production details
• Creating timely and consistent flow of information among stakeholders

Proactive problem-solving
• Anticipating roadblocks and addressing logistical challenges before they affect production
• Developing creative solutions to last-minute production issues

Process efficiency
• Supporting Producers with budget tracking, production paperwork, crew databases, and vendor coordination
• Contributing to improved workflows and production processes

Responsibilities and Sample Daily Tasks:

• Assist with developing production schedules and budgets under the guidance of Producers
• Source and book crew, equipment, locations, and talent while ensuring all logistical requirements are met
• Handle permits, insurance, contracts, and other production paperwork as required
• Organize casting sessions, location scouts, and pre-production meetings
• Assist with on-set logistics to help ensure smooth and efficient production days
• Support crew check-ins, call sheets, and schedule management during shoots
• Act as a key point of contact between clients, creative teams, and production crews
• Help troubleshoot last-minute challenges involving locations, talent, or logistics
• Track raw footage, photography assets, and other deliverables to ensure everything is properly logged and backed up
• Coordinate with editors, VFX teams, and sound designers to keep post-production on schedule
• Assist with review rounds and final asset deliveries, ensuring feedback and approvals are received on time
• Maintain production wrap documents, including budget reconciliations, invoice tracking, and production reports

Profile Sought:

• 1–2 years of experience in production or project coordination at an agency, production company, or in a freelance capacity
• Understanding of shoot logistics, budgeting, and vendor coordination, with training and mentorship provided
• Experience with Excel, Google Sheets, and production management tools
• Familiarity with Figma and Adobe Creative Suite is an asset
• Meticulous attention to detail, strong project management skills, and excellent communication abilities
• Ability to work collaboratively while remaining autonomous and self-directed
• Ability to work under pressure and meet tight deadlines
• Fluency in French and English; proficiency in additional languages is an asset
